Corporate Conference Coordinator

Location: Baltimore, Maryland

The main function of this position is to promote the visibility of Jhpiego by coordinating logistics for domestic and international public health conferences and special events.

Responsibilities:

  • Develop an annual plan for conference attendance that will enhance Jhpiego’s visibility, strengthen its corporate outreach efforts, and demonstrate its accomplishments to multiple audiences. Update the plan quarterly.
     
  • Work with the Director of Communications and Public Affairs as well as Finance to manage the FY conference and special events budget
     
  • Manage the logistics surrounding the Jhpiego exhibit for conference including registration, shipping, setup and return.
     
  • Draft and submit Jhpiego’s booth description and print ads for final conference programs
     
  • Manage the planning for exhibits materials including displays, collateral material and giveaways
     
  • Track and promote Jhpiego staff presentations and posters at conferences
     
  • Manage the planning and promotion of special events, when needed
     
  • Coordinate the scheduling of Jhpiego staff to work at the booth during conference hours
     
  • When necessary, represent Jhpiego at domestic and international public health conferences
     
  • Prepare trip reports after each event
     
  • Provide recommendations regarding creative improvements to boost the presentation of Jhpiego materials and to increase traffic/attendance while achieving marketing objectives.
     
  • Develop, write, edit and coordinate for approval: narratives, fact sheets, brochures, posters and other promotional materials for the exhibit program
     
  • Manage compilation and distribution of Jhpiego information folders
     
  • Manage the process for obtaining giveaways including identification of options, obtaining samples, comparing prices and placing orders
     
  • Maintain and update the inventory of manuals, giveaways, handouts
     
  • Maintain inventory of display hardware and graphics
     
  • Manage the exhibit graphic design process ensuring the continuity of the Jhpiego branding scheme
     
  • Write content for press releases, presentations, articles and web materials
     
  • Manage and update Jhpiego presentation deck
     

Required Qualifications:

  • Interest in public affairs and marketing communications
     
  • Ability to travel domestically and internationally
     
  • Demonstrates proficient knowledge in the Microsoft Office Suite (Word, PowerPoint, Excel), Outlook
     
  • Strong writing and editing skills
     
  • Demonstrates high degree of decision making and problem solving abilities
     
  • Possesses strong event design and management abilities as well as attention to detail
     
  • Possesses ability to handle budgets and produce within these set parameters
     
  • Exhibits excellent interpersonal, verbal and written communication skills, a high level of organization and ability to balance competing priorities
     
  • Self-starting capabilities and someone comfortable with qualitative and quantitative evaluation
     
  • Bachelors degree in a relevant field of study
     
  • 2+ years relevant work experience
